Senate Search Report Checklist

Verify that all of the following items are complete before submitting for central campus review. For detailed information on academic recruitment policies, refer to the Senate Search Guide

1. The search report name includes the name(s) of the proposed candidate(s) and the approved salary control number(s).

2. The proposed candidates appear in the search report PDF.

Applicant statuses

3. All applicants have the appropriate status:

  • Selected applicants are marked Proposed candidate
  • Interviewed applicants are marked Interviewed
  • Duplicate applications are marked as withdrawn
  • No applicants have statuses of Offered, Accepted offer, or Hired prior to an approved search report

4. The proposed offer information (including anticipated start date) is entered for all proposed candidates. Do not include proposed salary.

Deselected Applicants

5. Each deselected applicant has a disposition reason that indicates specifically why they were not put forward. Disposition reasons should not be the same for every applicant. 

6. All disposition reasons/comments are relevant to the description of the position and stated qualifications.

7. For all individuals who did not meet the basic qualifications, the disposition reasons/comments  indicate what basic qualification they do not possess.

8. For any duplicate applications, “duplicate application” is included in the disposition comment.

9. For each interviewed applicant, the disposition comment says “see search committee narrative.”

Alternate Candidates (individuals that the department has interviewed and would like to hire if the proposed candidate withdraws)

10. For any alternate candidates,  the disposition comment says “see search committee narrative.”

Proposed Candidates

11. The disposition comment for each proposed candidate says "see search committee narrative."

Interview materials

12. Documentation of the selection process as stated in the selection plan is uploaded.  Some examples of what may be included: 

  • Completed evaluation templates used in each round of review
  • Summary of overall graduate student input provided to the committee
  • Information from questionnaires used to solicit input from faculty and graduate students

13 a. A search committee narrative is uploaded to the Letters and memos section that includes all the information listed in the search committee narrative section of the search guide (within the Documentation section).

13 b. An assessment of the proposed candidate's (and alternate/s) track record and plans to contribute to diversity, equity, inclusion, and belonging in their research, teaching, and service.
