Senate Shortlist Report Checklist

Short list reports must be submitted and approved prior to inviting candidates to campus for interviews. Verify that all of the following items are complete before submitting for central campus review. For detailed information on academic recruitment policies, refer to the Senate Search Guide.

1. Shortlisted candidates have the status ‘Recommend for interview.’

2. If preliminary interviews (i.e., "zoom interviews") were conducted, longlisted candidates who are not proposed for the short list have the status "Preliminary interview completed."

3. Any candidates invited for a preliminary interview who decline (i.e., withdraw) should be marked first as “recommend for preliminary interview” and then “withdrawn.”

4. If preliminary interviews were not conducted, longlisted candidates who are not proposed for the short list have the status "Serious consideration."

5. For any longlisted candidate that is not being permanently deselected at this time, please provide a note in their disposition comment explaining this.

6. Disposition reasons are provided for all deselected applicants.

7. All evaluation materials that correspond to pre-campus visit review stages, as described in the approved search plan, are uploaded to the documentation section, including:

  • All evaluation/rating forms/scales
  • All spreadsheets of committee scores or assessments
  • All standardized questions used for soft interviews
  • All soft interview summaries

8. A memo is uploaded to the Documentation section stating all conflicts of interest that were identified and how they were handled, according to the conflicts of interest policy.
