Your first week as a Senate faculty member

Important tasks to take care of early on:

Make note of your Employee ID number (EID)

  • You may receive your new EID at your onboarding (hiring) appointment but more likely, in a Welcome email from Berkeley Regional Services HR/Onboarding Teams. 
  • You will need your new Berkeley Employee ID number (EID) for many of the actions below.

Set up Berkeley email, calendar, voicemail, and other systems access

You are eligible for a variety of technology services at UC Berkeley. The bConnected website features collaboration services such as the google suite of email, calendar, Drive, etc. Also make sure to review the One IT Service Catalog for additional services.

  • Email. After you create your CalNet ID, your campus email (bMail) will be set up for you using your CalNet ID followed by @berkeley.edu, which will become your new Berkeley email. 

  • Calendar. To review your calendar (bCal), go to: http://bcal.berkeley.edu/ and login using your CalNet ID.
    • Many campus events and meetings are scheduled using bCal. Even if you also keep a private calendar, it is highly recommended to schedule work-related activities using bCal.
  • bDrive and Box. bDrive is the Berkeley brand for Google Drive, which is available to anyone with a bConnected Google account. You also have access to Box.

  • Voicemail. To learn more about Berkeley’s voicemail and messaging services, go to: https://technology.berkeley.edu/voice

Update your entry in the campus directory

Here's how to update the (online) Campus Directory to ensure people can find you in the online directory.

  • Click on “Authenticate” to enter your CalNet ID/Passphrase.
  • Edit your Person Information and/or your Address Information. At a minimum, this should include your name and title, your email, and your home department. Note: Do not use hyphens (-) anywhere in your profile.

Obtain your Cal ID card (Cal 1 Card)

The Cal 1 Card is the official campus ID for all employees with Faculty, Staff, Postdoc, or Academic appointments. The card allows employees access to various standard and optional campus services and benefits. Always remember to carry your Cal 1 Card. To obtain a Cal 1 Card, use your CalNet ID and passphrase to: 

  • Upload your photo to the Cal 1 Card Office at: https://cal1card.berkeley.edu/c1cphoto (must be done well in advance of your on-campus appointment at which you pick up your card). If you are unable to upload a compliant photo online, you will be required to have your photo taken at the Cal 1 Card Office.
  • Schedule a flex appointment with the Cal 1 Card Office here:  http://bit.ly/c1cflexappointment or, join the virtual kiosk line here: https://bit.ly/c1cvirtualkiosk
  • Bring a government-issued photo ID (e.g., Drivers License or Passport) to pick up your card at your appointment.

Fill out your information in UCPath (the HR, Payroll, Benefits portal)

UCPath is an HR, Payroll, and Benefits system for all University of California employees. Access the online UCPath portal at: http://ucpath.universityofcalifornia.edu to:

  • View your Employee ID (located in the upper left corner of the home page).
  • Complete the personal information that asks about race/ethnicity, disability, veteran's status, sexual orientation and gender identity. (This information is critical for the campus to meet its aggregate affirmative action reporting obligations.)
  • Navigate to: Employee Actions > Personal Information > Personal Information Summary and
    • Update your home address and/or phone number.
    • Set up your Emergency Contact details.
  • Navigate to: Employee Actions > Income and Taxes to:

    • View your Earnings Statement(s)
    • Update your W-4 tax withholding elections. If you don't change your elections, the system will default you to "single" and "0").
    • Enroll to receive your W-2 online

Direct Deposit

Signing up for Direct Deposit (up to 3 accounts total) means you will get your pay quicker via electronic deposit, versus having a check mailed to your home address (direct deposit can take up to 31 days to activate). Your first paycheck is likely to be a paper paycheck. To sign up:

  • Navigate to: Employee Actions > Income and Taxes >Direct Deposit

Learn how to use CalTime to approve timecards

  • CalTime is UC Berkeley’s electronic timekeeping system and can be accessed at: https://caltime.berkeley.edu/home. Faculty do not report hours worked via CalTime; however, staff and students whom you supervise will likely use this system.

  • CalTime Training Tutorials for employees and supervisors/delegates are available online at: http://caltime.berkeley.edu/training.

Connect to campus Wi-Fi networks and otherwise get IT help

  • Wi-Fi connectivity is generally available throughout most buildings on campus as well as in UC Berkeley-affiliated buildings located off-campus. For the best connection, eduroam is the primary Wi-Fi service for access to the campus network. It provides access to all students, faculty, and staff. To get connected, use the steps outlined in this Berkeley IT (Knowledge Based) article

  • IT Client Services, a department within the Berkeley Information Technology (bIT) division, provides support to faculty, staff, and student employees when they need help with University-owned computers and devices. The easiest way to get help is to Report a Problem by opening an online service ticket, or calling them directly at: 510-664-9000 x1. The Device Services, Support, and Troubleshooting web pages contain more details about the support they provide and troubleshooting options. 

Foreign nationals only: connect with the Berkeley International Office (BIO)

The Berkeley International Office is the best place to start for information regarding visas, green cards, and other immigration questions. 

Learn about and comply with COVID-19 protocols.

As a condition of employment, you will be required to comply with the University of California SARS-CoV-2 (COVID-19) Vaccination Program Policy, or any subsequent updated policies. Under the policy in effect as of Spring 2023, you are required to:

  • Provide proof of vaccination or, if applicable, submit a request for Exception (based on Medical Exemption, Disability, and/or Religious Objection) or Deferral (based on pregnancy) no later than the applicable deadline. Using your CalNet ID, you must upload your COVID-19 vaccination card to the eTang portal (or obtain an exemption)
  • Complete EHS 207 UCB Guidelines on Protecting Workers from COVID-19 (Rev. 5/10/22) training.
